Average annual workforce (with the offer; by self-declaration): Indicate the name and registered office of the company and the responsible contact person with name, address, e-mail and telephone number. Number of persons employed by the undertaking in the last three financial years.

References to certain services (with the offer; by self-declaration): The performance shall be demonstrated by at least two references (name, address, e-mail and telephone number of a contact person) over the last three years. Minimum information on the service (description), the year/term of the contract, the place of service/place of delivery, the scope/quantity, the contract value and the contracting entity shall be provided. In addition, the following minimum information shall be provided: Which files are involved, location of digitization, size/formats of the scanned files and the number of employees employed.

Specific annual turnover (with the offer; by self-declaration): indication of the company’s turnover for a comparable service range including the share of orders executed together with other companies in the last three financial years. If the company has not been active on the market for 3 years, it is possible to provide the abovementioned information about the previous activity.

Entry in the professional or commercial register (with the offer; by means of a third-party declaration): Proof of entry in the professional or commercial register in accordance with the legislation of the country in which the company is established. Companies that are not listed in the professional, commercial or other register provide a copy of the business registration to the competent authority of the country in which they are established (if necessary) or another suitable proof (e.g. adjusted tax assessment) that provides information on the type of professional activity.

Company liability insurance (with the offer; by means of a third-party declaration): Proof that company liability insurance exists during the entire contract period. The amount covered shall be at least 1,5 times the value of the contract. Damage from theft, loss or damage to the files to be scanned must be covered.

Quality management system (with the offer; by means of third-party declaration): A certificate from an independent body about an established quality management system according to DIN EN ISO 9001.

BSI-IT-Grundschutz (with the offer; by means of a third-party declaration): Proof of compliance with the C5 criteria of the Federal Office for Information Security (BSI) (https://www.bsi.bund.de/dok/7685384) must be provided with the offer. If a request for use of the cloud is made, the proof must already be submitted together with this request.

Relevant education and professional qualifications (On request of the awarding body); No formal requirement or otherwise: For communication between contractor and client, good knowledge of German in word and writing is necessary. If German is not the mother tongue, information on German skills must also be provided in the training, it is expected that these correspond at least to level C1 of the European Reference Framework.
